SMTP Settings

Configuring SMTP Settings in Hosted AI User Panel

1. The SMTP Server Settings are located within the global configuration section. Here, we have several options available. The Service Settings focus on configuring the SMTP server itself, while the Email Identity Settings determine the email addresses and sender details visible to customers. These settings also define additional information that appears in outgoing emails, such as team invitations or workspace updates.

2. Clicking Edit reveals key details such as the server address, port, encryption method, and authentication settings.

3. In the SMTP Server Address field, enter the address of your SMTP server.

For the Port field, you can specify one or multiple port numbers, separated by commas if needed.

Next, choose the Encryption Method. Here, we're using SSL encryption. If the provider does not require encryption, you can select None, or opt for TLS if supported.

4. Finally, configure Authentication. If authentication is not required, you can disable it using the toggle. If authentication is needed, enable and enter the username or email address and password.

5. Then click update settings, and you'll be good to go with your updated SMTP server configuration.

6. Next, let's review the Email Identity Information settings. These settings control what your customers see when they receive emails from you.

Clicking Edit reveals several options to configure sender details and other visible email information.

7. The From Address specifies who the email is sent from, allowing you to use your organization's email address.

The Display Name should also reflect your organization’s name.

The Reply-To Address is where incoming responses will be directed. This can be an external email address or one that forwards messages to another destination, such as your support system.

8. Once you've confirmed all settings, you can review the Footer Information section.

In this section, you'll find several options:

  • Physical Address – This can be your headquarters or another designated address for customer correspondence, such as a location for in-person visits.

  • Support Contact Information – For example, If you have a dedicated email address or a ticketing system, you can enter that information here.

9. Finally, we have Legal Links, which allow you to include links to important policies such as your Privacy Policy or Terms and Conditions. These links help users navigate directly to relevant legal documents from your emails. This is particularly useful for emails like new user invitations.

10. Additionally, you can add custom fields to include extra information as needed. This allows you to include any additional details your customers may need within the emails they receive.

11. Click Update Settings to save your changes.
